How to get a training wireless setup for softphones using a computer.

Today we will analyze an option available for training purposes with wireless headsets for softphones on a computer. As you are aware, the majority of the companies are moving from the physical desk phones into the softphone’s applications, such as RingCentral, 8X8, OneX among others and for the same reason they are being run in a computer, could be a Windows or Mac as well and thanks to this new technology the requirements for a desk phone is no longer used. But what if I need a wireless training headset setup to work now in my computer? Keep reading and will explain on how to achieve this goal. For this particular topic we decided to go with Jabra Engage headsets, however other brands such as Poly/Plantronics have something similar and with really close steps on how to make it work.

Jabra Engage 65 Mono Wireless Headset System or Jabra Engage 65 Stereo Wireless Headset System

Both of these models are fully compatible with each other one as they share the same base. This is very important and will discuss this further down the road for reference. There are a couple ways how to setup a Jabra Engage 65 Base to work as a training base for softphones for this to work, we need 2 full systems in order to keep the headsets fully charged and ready to be used and we will discuss both of the ways here:

Add headset to a conference call:

This is the simplest way to do it and by far my favorite as requires literally nothing out of ordinary to do.

1st Undock the primary (Trainer) headset.

2nd Dock the additional headset (Trainee) to the base. It will attempt to pair to the base.

3rd A voice prompt will play in the primary (Trainer) headset. The user needs to press the CALL button on the primary headset to accept the additional headset in the conference. Now the audio will be shared between both headsets.

By default, the additional headset will be muted.


Add headset to a conference call without docking:

This takes some more steps with the same result; this is recommended if the office space doesn’t allow to have 2 people in one cubicle.

1st Undock the primary (Trainer) headset.

2nd Power down the additional (Trainee) headset by holding the CALL button for 4 seconds.

3rd Hold on the base for 3 seconds. Then the Conference icon on the base will flash.

4th Put the additional (Trainee) headset on pairing mode by holding the CALL button for 5 seconds until the status LED on the headset flashes blue.

5th A voice prompt will play in the primary (Trainer) headset. The user needs to press the CALL button on the primary headset to accept the additional headset in the conference. Now the audio will be shared between both headsets.

By default, the additional headset will be muted.

Permanent conference mode: By default, the conference will end for the additional headset once the call ends, however the conference mode stays on as long as the primary headset does not gets docked into the base as this will end the mode. If you need to charge the headset you can do it using a micro-USB cable and keep charging either on your computer or with a power brick.

Jabra Engage 65 Convertible Wireless Headset

With the Jabra Engage Convertible headset will be following the same steps as with the other 2 siblings. One small detail that needs to be noted, is that in order to make a Convertible training setup, both headsets need to be Convertible style as the headsets are not compatible with the Mono or Stereo base and vice versa.

2nd Dock the additional headset (Trainee) to the base. It will attempt to pair to the base.

3rd Tap “Accept” on the base to add the headset as an additional headset.

4th A voice prompt will play in the primary (Trainer) headset. The user needs to press the CALL button on the primary headset to accept the additional headset in the conference. Now the audio will be shared between both headsets.

By default, the additional headset will be muted.

1st Tap “Menu” on the base of the Engage 75 headset to open the settings menu, and navigate to Add headset.

2nd Tap to switch to Pair without docking.

3rd Tap “Accept” on the base to out the base in pairing mode.

4th Power off the additional (trainee) headset by holding the CALL button for 4 seconds.

5th Put the additional (Trainee) headset on pairing mode by holding the CALL button for 5 seconds until the status LED on the headset flashes blue.

6th A voice prompt will play in the primary (Trainer) headset. The user needs to press the CALL button on the primary headset to accept the additional headset in the conference. Now the audio will be shared between both headsets.

By default, the additional headset will be muted.

Jabra Engage 75 Convertible Wireless Headset System

With the Jabra Engage Convertible headset will be following the same steps as with the other 2 siblings. Jabra Engage 55 Mono DECT USB-A Wireless Computer Headset, Teams or Jabra Engage 55 Stereo DECT USB-A Wireless PC Headset Teams or Jabra Engage 55 Convertible DECT USB-A Wireless Headset

Jabra Offers the Engage 55 headset family as a computer only headset and for the same reason in this case you can mix and match however wearing style the users like as these headsets require no base for the pairing, but the new Link 400 USB-A dongle which makes easier to create the conference mode. For this to work, we need only one of the Link 400 dongles plugged into the main computer, we know the full systems comes with each dongle but for this we will use only one.

1st Make sure the Link 400 is plugged into the computer and the primary (trainer) headset is paired and working on the PC, best way to find out is by streaming something on the computer.

2nd Make sure the additional (trainee) headset is off, then press and hold the CALL button for 4 seconds.

3rd Press and hold the pairing button on the Jabra Link 400 for 1 second to pair with the headset.

4th A voice prompt will play in the primary (Trainer) headset. The user needs to press the CALL button on the primary headset to accept the additional headset in the conference. Now the audio will be shared between both headsets.

Special mention: The Engage 55 as its easier to make the Conference mode, unfortunately doesn’t have a Permanent Conference mode. So every time the call ends the mode will be disconnected. Meaning you will need to the the steps again for every call. 

We discussed Jabra Engage headsets, now we will discuss Poly Savi 8200 Series, this applies to the Office family headsets.

The fastest and easier way is doing an automatic headset joining.

1st While on an active call using the primary (Trainer) headset, place the guest (Trainee) headset in the primary charge cradle. The base subscription LED will flash green.

2nd The primary user (Trainer) will hear The voice prompt “Conference requested). To accept this press the Call button on the Trainer headset.

3rd The base subscription LED will turn in a solid yellow to indicate that the conference mode had started. The Trainee headset will have a live microphone so the user will need to mute the microphone to avoid feedback or unwanted background noises.

The guest headset will remain linked to the primary base through multiple calls so you only need to do this one time. If the guest headset wants to exit the conference mode, would need to press the Call button or the primary headset will need to be docked again into its original base. To check the conference call status you will need to open the Poly Lens App.
