How to Pair a Plantronics CS540 Headset to Its Base

For Plantronics C054 pairing, end any call and set the CS540 headset in the base's charging cradle. The base pairs with a headset docked while it's idle: the power light on the front flashes white, then stays solid white once they're paired. If docking doesn't take, pair by hand: hold the subscription button on the back of the base for three seconds, then hold the volume-up button on the headset for three seconds.

Check these two things first

  • Charge the headset for at least 20 minutes. A flat headset won't finish pairing, and Plantronics asks for 20 minutes of charge before first use anyway.
  • Read the code printed on the base. A base marked C054A is the European model, and it won't hold a connection in North America however many times you pair it.

A new CS540 wireless headset system comes out of the box already paired to its base, so you only need to do this when you've swapped in a different headset, the headset and base have stopped talking to each other, or you're setting up a spare. In Plantronics' manuals you'll see pairing called "subscription", which is why the button on the base carries that name.

Docking is the quickest way. With no call active, put the headset in the cradle and watch the power/subscription light, the white one on the front of the base. It flashes while the base pairs the headset and makes it the primary headset, then goes solid. That's it. Take the headset out, press its call button and lift the desk phone's handset, and you should hear a dial tone.

How to pair a Plantronics CS540 by hand

Pair by hand when docking doesn't change anything, or when you'd rather not wait for the cradle. It's the over-the-air method in Plantronics' user guide.

  1. Leave the headset off the base

    Hang up any call and take the headset out of the cradle. The base only pairs a headset when the system is idle.
  2. Hold the subscription button for three seconds

    The subscription button is on the back of the base. Hold it until the power/subscription light on the front starts flashing white.
  3. Hold volume up on the headset for three seconds

    Press and hold the volume-up button on the headset until the light on the headset turns solid white.
  4. Wait for solid white on the base

    When the light on the base stops flashing and stays solid white, the headset and base are paired. Press the call button and lift the handset to check for a dial tone.

The base gives up after two minutes. If it times out or the pairing fails, the light on the base goes dark for three seconds and then comes back on steady, and you can start again from the first step. To cancel a pairing attempt yourself, press the subscription button once more.

Can you reset a Plantronics CS540?

No. The CS540 has no factory reset, and Plantronics' user guide has no reset button or key sequence for the headset or the C054 base. The closest thing is pairing the headset again by hand, which replaces the old link with a new one.

That only helps when the headset won't connect. If it connects but calls sound wrong, with echo, static, a quiet line or no dial tone, the fix is in the base's volume dials and configuration switch, and pairing again won't change it. What the lights on the base mean

The power/subscription light tells you where pairing has got to. The other two lights on the front are for calls and charging.

When the CS540 still won't pair

If the light on the base never turns solid white, check these before you try again.

  • The battery is flat or worn out. A full charge takes three hours. Plantronics recommends a new battery after three years or 300 charge cycles, whichever comes first.
  • The battery was just replaced. Open the battery cover and check the battery's plug is fully seated in the headset. North American and European CS540 batteries use different connectors, so a battery bought for the other region won't fit.
  • The base is a C054A. It runs on Europe's DECT frequency, which is a hardware difference no amount of pairing changes. Here's how to tell a C054 from a C054A.

If you have a second headset, try pairing it to the same base. If that one pairs, the original headset is the problem, and a replacement CS540 headset pairs to your existing base the same way. If neither will pair, the base is the likely fault.

Can I pair more than one headset to a Plantronics CS540 base?

Yes, as guests on a call. A CS540 base holds one primary headset, and up to three more headsets can join a call in progress. Dock the guest headset in the primary user's cradle during the call, wait for a triple tone in the primary headset, then press the primary headset's call button within ten seconds to accept it.

Can the Plantronics CS540 pair with a cell phone?

No. The CS540 has no Bluetooth. It uses DECT, and the headset only pairs with its own base, which connects to a desk phone.
